This flowchart provides an overview of how to record (or re-record) the name and personal greeting(s) for a system mailbox.
Record RNA GreetingThis option allows you to re-record your ring-no-answer (RNA) greeting, the greeting you recorded as part of the new user tutorial, which is played when your phone rings but you do not answer it.
For ease of use, system mailboxes default to using this greeting in all situations: RNA, busy and call blocking. That way you don't have to worry about multiple greetings unless you want them. For system mailboxes, you will usually want to leave all three greeting types set to the same greeting number because in most cases a system mailbox will not have a physical extension number so the RNA and busy greetings will be irrelevant.
When you select this option, the system reviews the current recording, then allows you to accept or re-record it. If you opt to record, you will be prompted to record at the tone; after you have finished recording, press #. The new recording will be played back and again you will be able to accept or re-record it. If you accept it, you will be returned to the greetings menu.
Record NameThis option allows you to record your name for the spell-by-name directory.
If you do not have a name recording, your mailbox will not appear in the directory. As with the RNA greeting, when you select this option the system will review the current recording and allow you to accept or re-record it.
System mailboxes are typically blocked from being in the directory even if there is a name recording. Nevertheless, recording a name that is descriptive of the mailbox's purpose may be useful in other parts of the system.
Record Other GreetingsThe DV2000/DV4 provides all system mailboxes with eight greetings, numbered 2 through 9 (greeting 1 is reserved for the name recording).
By default, greeting 2 is used for the RNA, busy and call blocking greetings and is recorded when you go through the new user tutorial. The options presented in this menu allow you to re-record any of the eight greetings and to assign any of them to one of the three possible uses: RNA, busy or call blocking.
The call blocking greeting is the one that is used most frequently by system mailboxes since they typically do not have associated physical extensions and so the RNA and busy greetings are not relevant.
For most cases, then, it is easier to just make sure the RNA, busy and call blocking greetings are configured for the same greeting number and then use the record the RNA greeting option discussed above to re-record the greeting as needed. Nevertheless, this option is there for those who need the flexibility.
