Record greetings |
|
This flowchart provides an overview of how to record (or re-record) the name and the question-and-answer greetings for a QA mailbox.
Record NameThis option allows you to record a descriptive name for the mailbox (typically used for the spell-by-name directory, as well as to identify where a forwarded message originally came from).
If you do not have a name recording, your mailbox will not appear in the directory. As with the RNA greeting, when you select this option the system will review the current recording and allow you to accept or re-record it.
Record QA GreetingsUnlike most other mailbox types, QA mailboxes do not use the normal ring-no-answer (RNA) greeting. Since QA mailboxes are intended to elicit multiple responses from a caller, this option allows you to record any number of greetings that can be used in the QA script, either to make statements or to ask questions. As shown, the process is a little different than recording your name.
First, you need to enter the greeting number (followed by the # key); this can be almost any number you want, up to a maximum of eight (8) digits. Choose greeting numbers that will be meaningful to you when you edit the associated QA script using Mailbox Administration (this can only be done by the system administrator). If the greeting number you enter already has a recording, the system will play that recording and query if you wish to re-record it, append to it, or return to the previous menu. If you wish to accept the recording, simply press * to return to the previous menu, which will return you to the prompt for a greeting number.
If the greeting number you enter does not have a recording already, the system will simply prompt you to choose whether to record the greeting or to return to the previous menu (that is, return to the prompt for a greeting number). This allows you to back out without recording if you accidentally enter the wrong greeting number.
Note: The QA script cannot be edited over the phone but can only be configured by the system administrator using the Mailbox Administration application on the DV2000/DV4 system. Consult with the administrator as to what greetings are required and what greeting numbers should be assigned to them.
