View occupied room list

To view the occupied room list:

 

1. From any browser, access InnDesk and login using a valid account.  This can be done from the homepage of InnDesk.  Enter your username and password in the boxes provided in the upper right corner (as shown below) and then click Login.

2. From the menu, select Reports | Occupied Rooms:

The Occupied Rooms report contains the following information:

 

Column

Description

(check box)

Check this box for each room you want to check out.  Then click the Check Out selected button to actually check out all selected rooms.

Room

The room number.

Guest

The guest name assigned to the room mailbox, formatted as Last name, First name.

Maid Status

The current room clean status for the given room.

 

Depending on how InnDesk is configured, this column may not be displayed.

Test Msgs

The current text message count for the given room.

DND

The current DND status of the room phone.

(icons)

The pencil icon may be clicked to open the Guest Services page for the given room.

 

The printer icon may be clicked to open a printable report for the room, as discussed below.

 

View Room Wakeup/Reports Page

To view the Room Wakeup/Reports page for a given room, click on the room number in the Room column.

 

Check Out Rooms

To check out one or more rooms, check the box next to the room number for each room you want to check out.  Then click the Check Out selected button (located both above and below the table, on the left-hand side).

 

InnDesk will then display a page showing only the rooms you selected and asking for verification, as shown below.

If you selected a room by mistake, you can uncheck the box to the left of the room number and that room will not be checked out.

 

Click OK to actually check out all selected rooms or Cancel to cancel the operation.

 

Print a Room Report

As mentioned in the table above, each row in the Occupied Rooms report has a printer icon in the right-most column.  If you click that icon, InnDesk will open a room report page formatted for printing, similar to that shown below.

As shown the example above, at the top is a button you can click to send the report to the printer and another you can click to close the page.

 

Below that is the report title which indicates the room that the report is about.  And below that is a line that specifies the date and time the report was generated, the guest name assigned to the room mailbox, the room number, the primary extension number, the current maid status, and the current count of text and voice messages.

 

Next is the current wakeup log report and the pending wakeup calls report; both are described in detail on the View room report page.

 

Finally, at the bottom, the source of the report is listed, including the name of the user who generated the report.
