RingCentral for Hotels: Add PMS Integration with DuVoice

Can Hotels Use RingCentral? How DuVoice Adds Hospitality Features

RingCentral provides hotels with a modern cloud communications platform, but hospitality properties need more than standard business calling features.

A hotel phone system may also need to support guest check-in and checkout, Property Management System integration, automated wake-up calls, guest voicemail, housekeeping room-status updates and guest-room calling permissions.

DuVoice connects RingCentral with the hotel’s PMS and adds the hospitality-specific communication features required to support these workflows.

This allows hotels to modernize their phone systems without giving up the operational functions their front desk, housekeeping teams and guests rely on every day.

The DuVoice DV2000 Hospitality Application is officially available through the RingCentral App Gallery, where RingCentral identifies features including PMS integration, room-status reporting, guest-name updates, wake-up calls, voicemail, minibar billing and call accounting.

Why Hotels Need More Than a Standard Business Phone System

Most business phone systems are designed around permanent employees and fixed extensions.

Hotels operate differently. Guest-room users change constantly, and every arrival, departure or room move may require several communication settings to be updated.

For example:

  • A mailbox may need to be activated when a guest checks in.
  • The guest’s name may need to appear on internal staff phones.
  • Calling permissions may need to change during the stay.
  • A requested wake-up call may need to be scheduled.
  • Guest information and voicemail must be removed after checkout.
  • Housekeeping may need to send room-status updates to the PMS.
  • Room moves may require messages and wake-up calls to move with the guest.

These functions normally depend on communication between the hotel’s PMS and phone system.

Without a hospitality integration layer, employees may need to manage some of these processes manually, or the hotel may lose them when replacing an older PBX.

How DuVoice Connects RingCentral With a Hotel PMS

DuVoice acts as the hospitality communication layer between RingCentral and the property’s PMS.

The hotel’s PMS continues to manage guest and room information. RingCentral provides the cloud-based phone environment. DuVoice receives the relevant hospitality commands and coordinates the communication workflows associated with each room.

The basic relationship can be understood as:

Hotel PMS → DuVoice DV2000 → RingCentral

When the PMS sends an update, DuVoice can perform the related actions within the hospitality communication environment.

DuVoice connects with RingCentral through standard SIP extensions and a RingCentral application developed by DuVoice. Its supported hospitality functions include guest-name updates, room-status reporting, wake-up calls, guest voicemail and room-phone restrictions.

What Hospitality Features Does DuVoice Add to RingCentral?

PMS Integration

DuVoice connects the hotel’s Property Management System with RingCentral so guest and room changes can automatically trigger the appropriate communication actions.

Supported PMS workflows may include:

  • Guest check-in
  • Guest checkout
  • Room moves
  • Guest-name updates
  • Calling-permission changes
  • Wake-up call requests
  • Room-status updates

DuVoice supports PMS interfaces used across the hospitality industry, including Oracle OPERA, Agilysys, HotelKey, Mews, Infor, Maestro and StayNTouch. Compatibility and available functions depend on the specific PMS, version and project configuration.

Hotels can review DuVoice’s PMS integration capabilities and supported PMS partners before planning a deployment.

Automated Check-In and Checkout Actions

When a guest checks in, the PMS can send information to DuVoice so the room’s communication services are prepared automatically.

Depending on the system configuration, check-in may:

  • Activate the room mailbox
  • Add the guest’s name to the RingCentral extension
  • Apply the correct calling permissions
  • Set the guest’s preferred language
  • Deliver a welcome message
  • Schedule a wake-up call

At checkout, DuVoice may disable the mailbox, archive messages according to hotel policy, remove wake-up calls, clear the message-waiting indicator, delete personal greetings and reset room-phone permissions.

These automated actions help prepare the communication environment for the next guest while reducing repetitive front desk work.

Guest Voicemail

Hotel voicemail must operate differently from ordinary employee voicemail.

Guest mailboxes need to be created, updated and reset according to the guest’s stay. They may also need to follow the guest during a room move and remove personal information after departure.

DuVoice adds hospitality-focused guest voicemail to RingCentral, including automatic mailbox access, message-waiting functions and PMS-controlled room workflows.

Automated Wake-Up Calls

Hotels continue to provide wake-up calls for business travelers, airline crews, tour groups, conference guests and travelers with early departures.

With DuVoice, wake-up calls can be scheduled by authorized hotel employees or, depending on the configuration, directly by guests through their room phones.

The system can support features such as:

  • Multiple scheduled calls
  • Custom greetings
  • Repeated call attempts
  • Group wake-up calls
  • Completed-call records
  • Failed-call notifications

DuVoice’s RingCentral integration specifically supports wake-up calls set by guests or hotel employees.

Housekeeping Room-Status Updates

Housekeeping employees can use guest-room phones to report whether rooms are clean, dirty or in another configured status.

DuVoice receives the update and can pass it to the PMS, giving the front desk more current information about room readiness.

This can reduce repeated calls between housekeeping and the front desk while helping hotel employees coordinate arrivals more efficiently.

DuVoice’s RingCentral integration supports clean and dirty room-status reporting from guest-room telephones, while its wider PMS interface supports multiple status codes and housekeeper identification.

Guest-Name Synchronization

When a guest checks in, DuVoice can send the guest’s first and last name to the associated RingCentral room extension.

This helps authorized hotel employees identify the guest when receiving an internal call and supports more personalized service.

At checkout, the guest’s name and other personal communication information should be removed from the room extension.

DuVoice’s RingCentral integration includes first- and last-name updates based on information received through the PMS.

Guest-Room Phone Controls

Hotels may need different calling permissions for vacant and occupied rooms.

For example, the property may restrict certain outbound calls until a guest checks in and then apply the correct calling permissions for the stay.

DuVoice can use RingCentral roles to restrict or unrestrict guest-room telephone functions based on the PMS workflow and hotel configuration.

Can an Avaya or Mitel Hotel Migrate to RingCentral?

Hotels using older Avaya, Mitel, Nortel or other on-premise PBX environments may be able to migrate to RingCentral while preserving their core hospitality workflows through DuVoice.

The objective is not simply to replace the old phones. The project must also preserve the connections between the PMS, guest rooms, voicemail, wake-up calls, housekeeping and front desk operations.

DuVoice supports a broad range of legacy and cloud PBX platforms, including Avaya, Mitel, Nortel, RingCentral, Cisco, Webex Calling and Zoom.

Hotels considering a migration should first identify every hospitality function connected to the existing PBX. The new environment should then be tested against those workflows before the final cutover.

The Hotel Phone System Upgrade Checklist explains what properties should evaluate before replacing their current system.

A Real-World RingCentral Hotel Migration

Cornell University’s Statler Hotel provides a practical example of a hotel moving from an aging on-site PBX environment to RingCentral.

The project required more than 250 phones across 153 guest rooms and offices to be deployed while preserving guest services and operational workflows.

DuVoice was used to integrate the hotel’s Property Management System with RingCentral. This allowed guest-name updates, voicemail and other hospitality functions to continue within the new cloud communication environment.

Cornell reported that the main cutover was completed during a three-day, low-occupancy window with minimal disruption.

Modernize Hotel Communications Without Losing Hospitality Features

RingCentral can provide the cloud communications foundation for a hotel, while DuVoice delivers the hospitality layer needed to connect that environment with the property’s PMS and guest-service workflows.

Together, DuVoice and RingCentral can support:

  • PMS integration
  • Automated check-in and checkout actions
  • Guest-name synchronization
  • Guest voicemail
  • Automated wake-up calls
  • Housekeeping room-status updates
  • Guest-room phone controls
  • Web-based hospitality management

This gives hotels a practical way to move away from aging PBX infrastructure without rebuilding their hospitality operations from the beginning.
